The default amounts are deliberately editable illustrative assumptions. They are not measured averages, live hotel rates or a forecast for a particular season. Compare accommodation for the same dates, room type, occupancy, taxes and cancellation terms. When suppliers quote in euros, convert the figures to your own USD budget using the rate and payment costs you expect; this tool does not provide a live exchange rate.
Accommodation is calculated per room per night. Meals and visits are calculated per traveler for nights plus one calendar day, including arrival and departure. Local transport is a daily allowance for the whole party. Intercity travel and airport transfers are whole-trip amounts. If a day is mostly spent traveling, lower the average visits allowance instead of counting it as a full sightseeing day.
More hotel moves can mean more rail tickets, transfers and time spent checking in. Countryside plans may need car hire, parking, fuel or a driver; include those costs explicitly in the relevant transport allowance. The contingency is a percentage of your entered travel costs, not a prediction of supplier price changes. Increase it if many costs are still unknown. The tourist-tax line is also an allowance, not a tax calculation: check the property, local rules, guest ages and what the accommodation quote already includes to avoid counting the same tax twice.
